Selling
The Sell screen is where a sale is built. It has a search bar, a grid of favourites and the basket. The basket is priced live by KahunaCart as each item goes in, so the total on the till is always the total the customer pays.
Before you begin
- A paired tablet with a shift open. See Getting started.
- A person serving who has Sell at the till.
Search and scan
The search bar says Search or scan and keeps the cursor so a scanner always lands in it. On a tablet it doesn't pop up the on-screen keyboard until you tap it.
- Type a word and the till lists matching products with their price at this location, their stock and their picture. Tap one to add it.
- Scan a barcode and the product goes straight into the basket. A scanned variant adds one.
- Scan a receipt and the till opens that order's return screen. See Returns.
- Scan something unknown and a small message says nothing matches. It never blocks the screen.
The till treats a burst of four or more characters, typed quickly and ended with Enter, as a scan. A scanner that types like a keyboard does that. A person typing slowly doesn't. The code is matched against exact barcodes (GTIN) first, then exact SKUs, then order numbers.
Favourites
The favourites grid shows the products you sell most. A manager sets it up under Point of sale → Favourites.
- Choose whether the list is for every location or for one location.
- Search for a product and add it. Each variant is its own button.
- Reorder with the up and down arrows.
- Remove a button you don't want.
A location's own favourites come first, then the ones for every location.
Options, quantities and stock
A product with options opens a sheet where the cashier picks them, then Add to sale. A product with one variant goes straight in.
The till can't pick a part's variant yet, so a grouped product or a kit with a part the shopper picks can't be sold from it. Adding one is refused with Pick which "Easel" you want.
Tap a line to open it. It has a quantity stepper and a remove button. The minus stops at one, and removing the line is the red button beside it. Stock is checked by KahunaCart. A line that can't be sold says why, in the catalog's own words, right on the line.
Prices are the ones the online shop would charge, including any sale that applies and the customer's group price. The basket shows the tax as the store displays prices. Turn the tax line off with Show tax on the basket under Settings.
Discounts
A staff discount takes money off one line or off the whole sale. Use it for a dented box, a price match or a regular customer.
- Tap a line to open it and press Discount, or press Sale discount to discount the whole sale.
- Choose Percent or Amount and enter the value.
- Type a Reason or tap one of Damaged, Price match, Loyalty and Staff. The reason is required. It is the discount's label on the receipt and the order.
- Press Give discount.
| Rule | What it means |
|---|---|
| One per line and one on the sale | Giving another replaces the first. |
| Never below zero | A discount can't take a line or the sale under nothing. |
| Taken off again | Remove discount on the line, or the cross on the sale's discount. |
| Tax comes after | Tax is worked out on the discounted price, exactly as for a coupon. |
| Taken off the sale price | A line's discount comes off what the line is worth after any sale or coupon. The sale's discount comes off what the lines are worth after their own. |
The discount limit
Discount limit (%) is the largest discount someone without Manage may give. The default is 100, so no limit. Set it to 10 and a cashier who tries 15% sees Over 10% needs a manager's PIN. A manager types their name and PIN, just for that discount. See Manager overrides.
The limit is measured as a percent of what the line or the sale is worth. A change to the basket that pushes a discount over the limit is checked again, and so is the charge.
Coupons
Press Coupon and type the code. It goes through the same path as a coupon in the online cart, so every restriction applies. A code the sale doesn't qualify for is refused with the reason, and the sale stays as it was. Automatic sales apply on their own.
Customers
A sale starts as a Walk-in: no customer and no email. The customer chip in the basket changes that.
- Find a customer by name or email. The search needs at least two characters and shows ten results at most.
- Add a customer with just their email and, if you like, their name. If that email is already a customer, the till finds them instead of adding a second one. It counts as a search.
- Make it a walk-in takes them off again.
Each person serving can make 60 customer searches in ten minutes. After that the till says That is a lot of customer searches. Wait a few minutes and try again. A customer can be put on a sale only if the person serving found them with a search, or added them, in the last half hour. That way the till can't be used to browse your customer list.
Putting a customer on reprices the sale for their customer group. Their email goes on the order, and their store credit balance appears so you can offer it as a way to pay.
A walk-in sale can't carry something that is delivered by email, such as a download, a license key or a gift card. The till refuses the charge and says to take the customer's email. A service, such as a haircut, is fine without one. A service, such as a haircut, is fine without one.
A bookable service can't be rung up at all, because a booking needs a time. The till says A booking needs a time, so it is made on the front desk. Take its payment from the booking there. With the Bookings add-on, the desk's Take payment button opens the till for that booking. See Taking payment.
Park and void
Park sets the sale aside on this register, for when a customer goes to find their wallet. It stays there until someone picks it up from Parked sales. Nothing is held in stock while it waits, because a basket doesn't hold stock until it is charged.
Void throws away a sale that was never charged. It asks first, because it can't be undone. Voided sales are counted on the shift's Z report.
A shift can't be closed while a sale with items on it is open and not parked. Parked sales are left alone and counted on the Z report.
Charging
Charge opens the Pay screen with the total. Nothing is made into an order yet, so pressing Back to sale leaves no unpaid order behind. The order is made when the first payment is taken. See Taking payment.
