Getting started

From an installed add-on to your first sale and your first closed shift. This walks through one register on one tablet. You can try every step with cash, or with the test provider's simulated card reader, before you connect a real reader.

Before you begin

  • KahunaCart 1.5.7 or later, with the Login and API plugins on and the job worker running.
  • A pickup location for the shop or stall. Add one under Shipping → Pickup locations if you haven't.
  • Some products with prices. The till sells whatever the online shop sells.
  • A tablet, laptop or phone with a current browser, on the shop's wifi or mobile data.

1. Install the add-on

Install the kahunacart-point-of-sale plugin beside the base plugin, then run the migration once so it can make its tables.

BASH
bin/plugin kahunacart migrate
bin/grav clear-cache

A new Point of sale section appears in the KahunaCart admin sidebar.

2. Give people permission to sell

Open Accounts in the Grav admin and pick the account. Tick these under its permissions:

Account Tick
The account the tablet signs in as Sell at the till, and API access
Each person who sells Sell at the till, and API access
Anyone who takes returns Also Take returns and refunds at the till
The owner or a manager Manage point of sale registers, staff, shifts and reports, which includes the other two

In a small shop one manager account can be both the tablet's account and a person who sells. In a bigger shop, make a dedicated till account for the tablet and an account for each person.

3. Set a PIN for each person

Open Point of sale → Staff. Every account that may sell is listed. Press Set PIN next to a name and enter 4 to 8 digits. The person types that PIN on the till's lock screen to start serving. See Staff and PINs.

If you are the only person in the shop, you can switch PINs off under Point of sale → Settings → Staff. The signed-in account is then the person serving.

4. Add a register

Open Point of sale → Registers and press Add register.

  1. Give it a Name such as Front counter.
  2. Give it a Ref, a short name such as front-1. It is printed on the register's orders and receipts and can't change once the register has sold.
  3. Pick its Location, the pickup location it sells at.
  4. Leave Card reader at None, or pick a reader if you have one. With the test provider switched on, pick Simulated reader 1. A real Stripe, Square or SumUp reader has to be paired with its provider before it shows up in the list. See Registers and devices.
  5. Choose what Receipts do: Print, Ask or None.
  6. Leave On ticked and save.

See Registers and devices.

5. Pair the tablet

  1. On the tablet, open https://your-shop.example/pos. You can also press Open the till on the register's page.
  2. Sign in with the till account.
  3. Pick your name on the lock screen and type your PIN.
  4. The till says it isn't set up yet. Pick the register, give the tablet a name such as Counter iPad and press Use this device as the till. A manager's PIN is asked for if you are not one.

The tablet is now that register's till. Add /pos to the home screen and it opens full screen.

6. Open a shift

Count the cash in the drawer, enter it as the Float and press Open shift. A float of 0 is fine if you take only cards. Nothing can be sold until a shift is open. See Shifts and cash.

7. Ring up a first sale

  1. Tap a product, or type a word in Search or scan. A scanner works here too.
  2. Press Charge.
  3. Choose Cash, tap the note the customer hands over and press Take cash. The till shows the change in large type.
  4. Print or email the receipt, or pick No receipt, then press New sale.

To try a card, pick Card instead. With the simulated reader the payment finishes after about three seconds. An amount ending in .05 is declined and one ending in .09 times out, so you can see both of those too.

To take what an older order still owes, such as a booking's balance, press Menu, then Take a payment. See Taking payment.

Open the order in the admin. It has a Counter sale panel with the register, the location, who served and the shift. Orders → Counter sales lists only the orders sold at a till.

8. Close the shift

Open Shift from the menu, press Close shift, count the drawer by notes and coins or as one total, and confirm. The till shows the difference and freezes the Z report. See Shifts and cash.
