Registers and devices

A register is one till: a counter, a stall or a corner of the shop. It has its own cash drawer, its own shifts and, if you have one, its own card reader. A device is a browser, usually a tablet, that a manager has paired to a register.

You need kahunacart.pos.manage to add registers and pair devices.

Add a register

Open Point of sale → Registers. The table lists every register with its location, card reader, receipts, whether a shift is open and how many devices are paired to it. A switched-off register is greyed out and marked Off. Press Add register and fill in the form.

Field What it does
Name What staff call it, such as Front counter.
Ref The register's short name, printed on its orders and receipts. Letters, numbers, dots, dashes and underscores. It must be unique and can't change once the register has sold.
Location The pickup location the register sells at. It is the address the sale is taxed at.
Card reader None, or a reader on a payment provider that takes cards in person.
Receipts Always print prints a receipt after every sale, Ask each time offers print, email or none, and No receipt offers none.
On Whether the register can sell.

Several registers can share one location. Each keeps its own drawer and its own shift, so two tills in one shop never mix their cash.

Choose a card reader

Pick a reader from the list under Card reader. The admin asks each payment provider that takes cards in person for its readers and lists them by the provider's name and the reader's own, such as Stripe · Front counter. A reader that is offline or busy says so beside its name. A provider with no readers paired says No readers paired. Without KahunaCart's settings permission the list can't be read, so the form says Readers cannot be listed here and shows a Reader id box, where you type the reader's id from the provider's dashboard.

The readers come from four places:

  • Stripe Terminal: the WisePOS E and the Stripe Reader S700.
  • Square Terminal.
  • SumUp Solo.
  • The test provider, which has two simulated readers, Simulated reader 1 and Simulated reader 2, for trying the till out with no hardware.

A reader has to be paired with its provider before it shows up in the list. How you pair depends on the provider. Stripe and SumUp readers show a code that you give to the store. With Square the store gives you a code that you type into the Terminal. Pair it from KahunaCart → Payments: press Card readers on the provider's card, then Pair a reader. Give it a name, and either type the code the reader shows (Stripe, SumUp) or press Get a code and type that into the Terminal (Square). The same sheet lists the paired readers and forgets one. It needs KahunaCart's settings permission. The API does the same through POST /kahunacart/providers/{provider}/readers (the pair_provider_reader tool) and POST /kahunacart/providers/square/readers/pairing (the begin_reader_pairing tool); see Payment providers in the REST reference. See Card readers for what each reader needs, and the provider's own page for the steps: Stripe, Square and SumUp.

Give each register its own reader. The till only offers Card as a way to pay when its register has a reader.

Change or switch off a register

Press a register's name to edit it. Untick On, or use Switch off in the row's ⋯ menu, and the register stops selling at once. A tablet paired to it shows that the register is switched off, and a manager can switch it back on.

A register that has had a shift can't be deleted, because its sales and counts belong to its history. Switch it off instead. A register that has never had a shift can be deleted, and its paired devices are revoked with it.

Pair a tablet

A tablet becomes a register's till when a manager pairs it.

  1. Open /pos on the tablet and sign in with the till account.
  2. Pick your name and type your PIN.
  3. When the till says it isn't set up yet, pick the register and name the tablet. A manager's PIN is asked for if the person serving isn't a manager.
  4. Press Use this device as the till.

The browser keeps a long random token. It sends it with every request, and the shop only accepts a register's sales, shifts and card payments from the browsers paired to that register. The token is kept as a hash, so no screen can show it again.

A register's page lists its devices with their label, who paired them, when and when they were last seen. It also reminds you how pairing works and has an Open the till button that opens /pos.

Pairing a browser that is already a till replaces its old token.

Revoke a lost or replaced tablet

Press Revoke next to the device on its register's page. That browser stops working as a till at once, and a manager has to pair it again before it can sell.

Warning

A device's token is a key to that register. Anyone holding it on a browser that is signed in to an account that may sell can ring up sales and take money on that register. Revoke a lost tablet straight away, and never paste a token into a ticket.

Moving a tablet to another register

Revoke the device, then pair it again to the other register. Or pair it straight away, which replaces its old token.
