People and places
Add staff, rooms and equipment under KahunaCart → Bookings → People and places. Each service specifies which resources it needs, such as a groomer and a tub for a grooming appointment.

Resource types
All three resource types use the same availability rules.
| Kind | What it is | Has a count |
|---|---|---|
| Person | Somebody who does the work | No — a person is one person |
| Room or space | A treatment room, a studio, a court | Yes, where the shop has several identical ones |
| Equipment | A tub, a bike, a machine, a lane | Yes |
A count greater than one represents interchangeable resources. The diary allows that many simultaneous reservations.
Use a shared count for interchangeable resources. Ten identical lanes can use one record with a capacity of ten. Create separate records for named rooms when each needs its own diary column.
Property is the fourth resource type, used for accommodation and other rentals booked by date. It requires Rentals. Without that add-on, you can edit nightly services, but the picker and cart refuse new bookings.
Edit a resource
| Field | What it does |
|---|---|
| What kind | Person, room or equipment. It changes the words, not the behaviour |
| Name | What you call them |
| Short name | Used in links. Made from the name if you leave it empty |
| How many | How many identical ones there are, on rooms and equipment |
| Colour | What their blocks are drawn in on the overview calendar and on the front desk's diary |
| Can be booked | Off keeps them and their history and stops them taking anything new |
Choose distinct colours so staff can identify resources quickly in the diary.
Hours and location
| Field | What it does |
|---|---|
| Hours | The set of hours they work |
| Where | Which location they work at |
| Timezone | Theirs, where it is not the hours' own |
Hours fall back from the resource to its location, then to the service. If no schedule applies, the resource is closed.
Link a staff account
Link a person to their site account to give them access to their own appointments at the front desk. They do not need admin access.
The field lists site accounts by username. Leave it empty for resources managed by reception rather than by the person signing in.
Record time off
Add time off for whole-day absences, maintenance or closures. Enter the start and end dates and an optional reason.
Time off uses the resource’s timezone. An absence on the 4th blocks that local date.
Time off overrides all opening hours, including weekly schedules, location hours and date overrides.
Connect calendars
The same editor includes two calendar panels:
- Calendar feed publishes the resource’s bookings for subscription in a calendar app.
- Block time from other calendars imports busy periods and removes those times from availability.
See Calendar sync.
Disable or remove a resource
To stop new bookings while retaining history, clear Can be booked on the resource’s record.
You cannot remove a resource with upcoming appointments. The message shows how many remain; move or cancel them before deleting the resource.
