Services
A service is a product that customers can book. Open KahunaCart → Bookings → Services to edit the booking rules for products of type Booking.
Keep the name, price, picture, category, tax class and purchase restrictions in the product editor.
Before you begin
kahunacart.bookings.viewto read this screen,kahunacart.bookings.manageto change anything on it.kahunacart.products.manageto make the product in the first place.- At least one person, room or machine on People and places, unless the service is going to book against itself.
Service list
The list shows booking products and any options with separate rules.
| Column | What it says |
|---|---|
| Service | The product, and beneath it the options of it that have a rule of their own |
| Rule | How long, what it needs, the clean-up and whether it goes straight into the diary — or not set up yet |
| Pays | Whether it is paid for in the basket, on the day, or whatever the store says |
| Status | Whether it can be booked at all |
A product without a rule shows not set up yet and a Set it up button. Add a rule with a duration before customers can book it.
Rules for product options
Options inherit the product’s booking rule. Create a separate rule when an option differs, such as a ninety-minute groom alongside the standard sixty-minute service.
An option marked follows the product inherits changes to the product’s rule.
Choose a booking type
Choose a booking type under How it is booked.
- The customer picks a time. Offer appointments whenever all required resources are available.
- It runs on a timetable. Offer the dates you schedule for a class. See Classes and waiting lists.
You can change the booking type while setting up the service. If it has upcoming bookings, the change is refused and the screen shows how many remain. Move or cancel them before changing the type.
Duration and start intervals
| Field | What it does |
|---|---|
| How long it takes (minutes) | The appointment itself. This is the only one with no fallback |
| Start times every (minutes) | Interval between offered start times, measured from opening. A thirty-minute interval from 09:00 offers 09:00, 09:30, 10:00 and so on. |
| Setup time before (minutes) | Kept free ahead of every appointment |
| Clean-up after (minutes) | Kept free after every one |
| How many at once | Maximum simultaneous bookings. For classes, this is labelled Places on each date. |
| Party size up to | How many people one booking may be for |
Leave an optional field empty to use the store default. Enter zero to override that default with zero.
Setup and clean-up time
The gap between appointments combines the earlier service’s clean-up buffer and the later service’s setup buffer.
For example, fifteen minutes of clean-up and no setup leaves a fifteen-minute gap. Fifteen minutes of each leaves thirty minutes between appointments for that service.
Buffers are saved with each booking. Changing a service’s buffers does not change existing bookings.
Capacity and party size
Set capacity and party size separately:
How many at once limits separate bookings sharing a slot, such as twelve class places. Party size up to limits the people on a single appointment booking, such as four friends sharing a lane.
Set party size above one to display How many people before the customer chooses a time. The selected number appears on the booking, cart line, receipt, emails, admin record and front desk.
Party size does not change the appointment’s price or resource use. A group hiring a lane still reserves and pays for one lane. For classes, each person reserves a place and the quantity determines the charge.
Party size applies to appointments. Classes use the number of places purchased.
Warning
How many at once limits simultaneous bookings across the pool. Use Party size up to to set the number of people allowed on one lane.
Booking windows
| Field | What it does |
|---|---|
| Notice you want (hours) | Hours of warning before an appointment. Anything sooner is not offered |
| How far ahead (days) | How far out a customer may book |
| Cancelling shuts (hours) | Hours before the start after which the customer can no longer change it themselves. Zero means right up to the start |
| New bookings | Go straight into the diary, or Wait for you to say yes |
| Paying | In the basket, On the day, or Whatever the store says. See Taking payment |
| Hours to fall back on | The schedule used when a resource and its location have no assigned hours. |
| This can be booked | Off takes the service out of the storefront without deleting its rule |
Enable Wait for you to say yes to review requests before confirming them. You receive a notification and the time remains reserved while you decide. Approval keeps the same reservation.
The cancellation cutoff applies to customer self-service. Staff can still move or cancel an appointment from the front desk after the cutoff.
Required staff and resources
A requirement specifies the resources a service needs and whether the customer can choose them. For example, a full groom needs one groomer from Ann or Bo, plus the shared tub.
Each need has four things:
| Field | What it does |
|---|---|
| What to call it | The word the customer reads — Stylist, Room, Tub |
| How many of them | How many the appointment takes |
| The customer picks which | Ticked puts a who with selector on the product page. Left off, you choose |
| The pool | Tick the people or things this need may be filled from |
Automatic assignment uses the first available resource in the pool. Put your preferred resource first.
The first requirement determines the offered start times. Its customer-choice setting determines whether the picker shows a column for each person or one list of times.
A service without resource requirements uses its own availability. This can be enough for a business run by one person.
Save a new service before adding its resource requirements.
How availability is calculated
Availability combines the service rules, resource hours, existing reservations and buffers. Use Troubleshoot to see why a time is unavailable; it runs the same checks as the picker.
