FAQ
Setting up
Do I need a card reader?
No. The till takes cash, store credit, gift cards and pay links without one. A card reader adds the Card button for the register it belongs to.
Which card readers work?
Stripe Terminal (the WisePOS E and the Stripe Reader S700), Square Terminal and SumUp Solo, each through its payment provider's add-on. The test provider has simulated readers for trying the till out. Bluetooth and USB readers and Tap to Pay aren't supported yet. See Hardware today.
Do I need anything special for a SumUp Solo?
On a live SumUp account, yes: an Affiliate Key, which SumUp asks for on every Solo payment. You make it in SumUp and paste it into the SumUp settings. The SumUp sandbox takes payments without one. See SumUp card readers.
Do I need a receipt printer?
No. Set the register's Receipts to Ask or None, and email the receipt when someone wants one. Any printer the browser can print to works when you do want paper.
Can I use my phone or a laptop as the till?
Yes. The till is built for a landscape tablet and also works on a laptop with a mouse and on a phone in portrait. Open /pos in the browser on any of them.
Can I have more than one register?
Yes. Add as many as you need under Point of sale → Registers. Each has its own drawer, shifts and reader. They can share a pickup location.
Can two tablets share one register?
Yes. Pair both to it. They share the register's one open shift and its one drawer.
Can I move a tablet to another register?
Pair it to the other register. See Registers and devices.
Selling
Does a counter sale change my stock?
Yes. A counter sale is an ordinary order, so it takes stock exactly as an online order does. The basket holds no stock until the sale is charged.
Which tax does it charge?
The tax of the register's location. A sale is taxed at the pickup location's address, whatever the customer's address is.
Why won't the till take a sale with a download in it?
A download, a license key or a gift card is delivered by email. A walk-in sale has no email, so there is nowhere to send it. Add the customer and their email to the sale, then charge.
Can a cashier give any discount they like?
Up to Discount limit (%). Above it, a manager types their PIN to approve that one discount. The default limit is 100, which means no limit, so set it if you want one. See Selling.
Can I put a sale on hold?
Yes. Park it. It waits on that register until someone picks it up from Parked sales.
Staff
Someone forgot their PIN. What now?
Open Point of sale → Staff, press Set PIN next to their name and give them a new one. That also signs them out of every till.
Someone is locked out.
Five wrong PINs lock a person for five minutes. Press Unlock next to their name to let them try again now.
Can the owner skip PINs?
Yes. Switch off Staff sign in with a PIN under Point of sale → Settings → Staff. The signed-in account is then the person serving. See Staff and PINs.
Someone without refund permission needs to take a return.
A manager can approve it on the spot. They type their name and PIN, and the order records who approved it. See Returns.
Money
How does the till work out how much should be in the drawer?
Float, plus cash taken, minus cash refunds, plus cash in, minus cash out. The worked example is on Shifts and cash.
Why is the cash 5 cents different from the total?
Your currency has cash rounding. Cash that pays the rest of an order is rounded to the smallest coin you set, and the difference is shown on the receipt as Cash rounding. See Taking payment.
Why does the Cash button only offer exact amounts?
A card payment is waiting on the reader. Change is only given on the payment that pays the rest, so until the card finishes the till takes only exact cash. It says so on the screen.
The reader never answered. Did the customer pay?
The till shows the payment as checking and keeps asking. If it still can't tell, press Check again. Look at the reader, or at the provider's own app, to see whether the money was taken. Press Give up on this card payment only when you need to move on. If the payment does go through later, it is recorded on the order. See Taking payment.
Can the till send the same card payment to the reader twice?
No. A payment is sent to the reader once. If the answer gets lost, the till finds the payment at the provider and doesn't send it again.
Can I take the balance of a booking, or pay an order placed online, at the till?
Yes. Press Menu, then Take a payment, and find the order. With the Bookings add-on, the front desk's Take payment button opens the till with that booking's order ready. See Taking payment.
Where do payments on earlier orders show up?
On the shift's X and Z reports as Payments on earlier orders, and in the payment totals and the drawer. They aren't counted as sales. In the period report they count under their way of paying, or as their own line in the other groupings. See Reports.
What if I tap twice, or the connection drops half way?
Charging a sale, taking a payment, taking a return and moving cash in or out all carry a key, so a double tap or a retry records one sale, one payment, one return or one cash movement. See Taking payment.
The shift won't close and names an order.
That order still owes money, has a card on the reader, or has a payment or refund still going through. Finish paying it, settle the card payment, or wait a moment and close again. See Shifts and cash.
A card refund is still waiting. Can I close the shift?
Yes. Closing doesn't wait for card refunds. The Z report lists them under Card refunds still waiting, and they count in the period reports once the provider confirms them.
A return was going through when the shift closed.
If the goods were already received, they stay received and back on the shelf, but nothing is refunded. The till says so, and the order's history gets a line. Give the refund from the order in the admin. See Returns.
Can I take a return after the shift is closed?
The register needs an open shift, because cash refunds come out of the drawer. Open a new shift and take the return in it.
Receipts and email
A customer wants a receipt by email. Do they become a customer?
No. Email receipt sends the receipt to the address you type and doesn't attach it to the sale. To make someone a customer, add them to the sale with the customer chip.
What does a customer get emailed?
Only the receipt they asked for. If the sale carries something delivered by email, such as a download, a license key or a gift card code, the order confirmation goes too.
The email receipt never arrived.
Emailed receipts go through the job worker. Check it is running (bin/plugin kahunacart work or the scheduler).
Problems
The till says it can't reach the shop.
See No offline mode.
A tablet was lost or stolen.
Revoke it on its register's page under Point of sale → Registers. It stops working as a till at once.
Where do I see counter sales?
On Orders, press Counter sales. Each order has a Counter sale panel with the register, the location, who served and a link to the shift.
